U.S. Payroll Services

Kaizen can provide the payroll services including the employee’s salary calculation and payment arrangement, and federal and state payroll tax filing services for your U.S. company. Please read this quotation for more details on our specific services and fees.

  1. U.S. Payroll Service

    Kaizen payroll service covers the followings:

    (1)
    Payroll tax ID of the state in which you are registered.
    (2)
    Prepare employment contracts for both parties.
    (3)
    Assist in purchasing government mandated workers' compensation insurance (may include Workers' Compensation Insurance and Disability & PFL Insurance).
    (4)
    Calculate salary based on the information provided by the employer.
    (5)
    Arrange salary payment to the employee on a regular schedule.
    (6)
    File monthly, quarterly, and annual Federal and State payroll tax returns on the employer’s behalf.
    (7)
    Issuance W-2 (Payroll and Payroll Tax Summary Information Form) at year-end.

  2. Required Documents for U.S. Payroll Service

    (1)
    Employer’s Articles of Incorporation;
    (2)
    Employer Identification Number;
    (3)
    Employee basic information and employment contract or offer letter (Note 1);
    (4)
    Federal Employee Withholding Certificates (Form W-4) and State Employee Withholding Certificates;
    (5)
    Employment Eligibility Verification (Form I9);
    (6)
    Federal and state payroll tax account, if applicable (Note 2);
    (7)
    Government mandated  workers' compensation insurance (if any) (Note 3);
    (8)
    Employer’s and employee’s bank accounts (if direct deposit is required).

    Note:
    (1)
    The employment contract or offer letter should contain the employee’s position, work address, salary, and other compensation details.
    (2)
    Kaizen can help to register the required payroll tax account, the extra government fee may be applied.
    (3)
    Kaizen can help to obtain and purchase government-mandated workers' compensation insurance, which may be subject to additional government fees.

  3. Payroll Service Fees

    (1)
    Kaizen can help to prepare an employment contract, the fee for this service is $250.
    (2)
    If you have not obtained or lose/ are unable to log in to your federal and state payroll tax account numbers, Kaizen can apply/reclaim it on your behalf. The application service fee for each state is $300.
    (3)
    Kaizen can help to obtain and purchase government-mandated workers' compensation insurance, the fee for this service is $200.
    (4)
    Issuance W-2 (Payroll and Payroll Tax Summary Information Form) at year-end, the fee for this service is $60.
    (5)
    If you need to calculate the pre/post-tax salary for your employees, Kaizen can assist in the calculation for a fee of $100 per person.
    (6)
    Please consult our consultants for the cost of specific payroll and payroll tax filing services.

    Note:
    (1)
    If you reported federal payroll taxes of more than $50,000 for the last four quarters, you must deposit taxes on the semi-weekly schedule.
    (2)
    If you have begun paying your employees and filing payroll taxes prior to transferring to Kaizen, Kaizen will need to perform a handover of your payroll services. If you transfer at the beginning of the year (before the first payroll of the year), there is a one-time transfer initial setup fee of $100. If you transfer in mid-year (after the first paycheck of the year), Kaizen will also need to obtain filing information and supplemental payroll for prior months, for which there is a one-time transfer-in initial setup fee of $300.
    (3)
    If your payroll service before transferring to Kaizen belonged to a third-party HR platform (e.g. ADP, etc.), you need to re-apply for a new tax ID number when transferring, and the tax ID number application will be charged in accordance with the aforementioned payroll tax ID number application service.

  4. Contract Labor Payment Filling Services Fees

    Generally, if a company pays a service provider or contractor more than $600 for services in a calendar year and the service provider or contractor is located in the United States or is a U.S. taxpayer, the company must file a 1099-NEC tax form to report the payment for the services, as well as the tax, to the IRS, and send a copy of the tax form to the service provider or contractor. Kaizen can help to file 1099-NEC tax forms. The filing service fee for each 1099-NEC tax form is $100.

  5. Other Services

    In order to provide better services to our clients, Kaizen can provide other related services (U.S. company registration service, Employer Identification Number application service, U.S. company bank account opening service, etc.) that are not mentioned in this quotation.
